Job Description
The Administration Specialist (Chinese Speaking) is responsible for providing comprehensive administrative and office support to ensure smooth daily operations of the company’s engineering and construction activities. The role acts as a key coordination point between local staff and Chinese management, ensuring effective communication, documentation, and administrative compliance.


Key Responsibilities


• Manage daily administrative operations including office management, documentation, and correspondence
• Prepare, translate, and manage administrative documents, reports, and letters in Chinese, English, and/or Khmer
• Support Chinese management with scheduling, meetings, travel arrangements, and daily coordination
• Maintain proper filing systems for contracts, project documents, licenses, and company records
• Coordinate with internal departments (engineering, finance, procurement, HR) to ensure administrative efficiency
• Handle company registrations, permits, licenses, and renewals with relevant authorities
• Assist HR administration including employee records, onboarding documentation, attendance tracking, and general HR support
• Manage office supplies, assets, and service providers (cleaning, security, utilities, etc.)
• Support project sites with administrative and documentation requirements when need 
• Liaise with government offices, partners, suppliers, and subcontractors on administrative matters
• Ensure compliance with company policies and local labor regulations
• Perform other administrative duties as assigned by management


Job Requirements


Bachelor’s degree in Business Administration, Management, or a related field
• Minimum 2–4 years of administrative experience, preferably in engineering, construction, or project-based companies
• Fluent in Chinese (Mandarin) for spoken and written communication; English is required; Khmer is an advantage
• Experience working with Chinese-invested companies or reporting to Chinese management is highly preferred
Strong organizational and time-management skills
• Good communication, coordination, and documentation skills
• Proficient in Microsoft Office (Word, Excel, PowerPoint)
• High level of professionalism, confidentiality, and attention to detail
• Ability to work independently and handle multiple tasks in a fast-paced environment
